How we collect, use, and protect the personal information you share with Toolbox Digital.

Last updated: 30 July 2026

Toolbox Digital is operated by Pianosa Web Services Pty Ltd. This policy explains how we handle personal information when you use this website, contact us or become a client. We aim to handle personal information consistently with the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply.

What we collect

Depending on how you deal with us, we may collect your name, business name, email address, phone number, service area, project requirements, messages and other information you choose to provide. If you become a client, we may also hold billing, account, campaign, website and service records needed to do the work.

Our website and service providers may also receive technical information such as your IP address, device and browser details, pages viewed, referral source and approximate location. We do not ask you to provide sensitive information through the website.

How we collect it

We usually collect information directly from you when you submit a quote form, email or call us, meet with us, or provide access needed for a project. We may also collect business contact details from public sources, referrals and service partners where lawful and appropriate.

Why we use it

We use personal information to:

  • respond to enquiries and prepare quotes;
  • provide, support and improve our services;
  • manage accounts, payments and business records;
  • measure website performance and understand how it is used;
  • protect our website, clients and business from misuse; and
  • meet legal and regulatory obligations.

We will only send direct marketing where we have a lawful basis to do so. You can opt out at any time by replying to the message or contacting us.

Website forms, analytics and cookies

Quote forms are processed by Web3Forms so the submission can be delivered to us. The site uses Google Tag Manager, Google Analytics and Fathom Analytics to measure visits and performance. These tools may use cookies or similar technologies and receive technical usage data. You can limit cookies using your browser settings, although some site features may work differently.

When we disclose information

We may disclose information to contractors and service providers that help us operate the business, such as website hosting, form processing, analytics, email, file storage, accounting and professional advisers. We may also disclose it with your consent, to protect legal rights, or when required or authorised by law. We do not sell personal information.

Some providers may store or process information outside Australia, including in the United States and other countries where they or their subprocessors operate. Their handling of information is also governed by their own privacy terms.

Storage, security and retention

We take reasonable technical and organisational steps to protect the information we hold from misuse, interference, loss and unauthorised access, modification or disclosure. No online service is completely secure, so please do not send sensitive information through a general enquiry form.

We keep information only for as long as it is reasonably needed for the purpose collected, to maintain business records and backups, or to meet legal, tax and accounting requirements. When it is no longer required, we take reasonable steps to delete it or de-identify it.

Access and correction

You can ask to access or correct personal information we hold about you. Contact us using the details below and describe your request. We may need to verify your identity. If we cannot fulfil a request, we will explain why where the law requires us to.
